Job Summary

Qualifications / Education / Experience
Maintain a secure and professional presence in the lobby:
•Working from the front desk between 7:30 am and 4:30 pm, with an hour lunch break, M-F, hours may fluctuate due to onsite meetings.
•Unplanned absences amount to less than 2% of standard working hours
•Ensure badges are distributed appropriately and that users are aware of the badging/access protocol
•Ensure guests are connected with their Company escort.
•Communicate key visitor announcements, ensure Innovation Center is well kept and configured for customer visits.
•Answer all incoming calls on multi-line telephone system; transfer calls or page employees as needed
•Greet customers, vendors, visitors and job applicants in a friendly, professional manner Be the Point of Contact for café and facilities issues:
•Act as Liaison between Benchmark Facilities staff ensuring issues are known and addressed Tasks include:
•Pest Control requests/schedule
•Submit building repair work orders
•Submit Equipment (Coffee Makers, Ice Machine, Copiers) repair work orders
•Manage Canteen orders for coffee and Snack for vending kiosk
•Order/Stock Office Supplies
•Shred box schedule
•Submit Janitorial requests Process Invoices:
•Coding, Approvals, Send to A/P New Hire Onboarding:
•Generate Employee Badge
•Computer access requests
•I-9 verification Other Standard Activities:
•Receive and distribute incoming mail
•Administer UPS Shipping and Receiving
•POC for Conference room scheduling
•Act as backup administrative support as needed
•Coordinate ordering and distribution of office supplies Initial Projects:
•Organizational Chart Update/Maintenance
•Phone List/Distribution List Updating Minimal of 4 years experience in an Administrative Assistant role required. Proficient in Outlook Exchange, Word, Excel, PowerPoint,and Visio is required. Completion of AA or BA/BS Degree preferred
