•This position requires use of information or access to hardware which is subject to the International Traffic in Arms Regulations (ITAR). All applicants must be U.S. persons within the meaning of ITAR. ITAR defines a U.S. person as a U.S. Citizen, U.S. Permanent Resident (i.e. ‘Green Card Holder’), Political Asylee, or Refugee. The Document Management Coordinator supports and maintains the global document and records management and control (DRMC) processes and ensures compliance with global regulatory requirements and standards for these processes. Leads and/or participates in projects to enhance and streamline supporting DRMC process procedures and tools as well as develops and implements training relating to DRMC to ensure effective communication of changes. Administers the systems and tools that ensure availability, currency, and control of the various regulatory and management system documents and records. In addition, the position supports activities relating to the control, release and publication of approved management system process content.

Qualifications / Education / Experience
Maintains documents in the management system (MS) in accordance with defined systems and procedures and on the basis of documents / information provided from document owners: o ensures complete document information o transfers documents into MS documentation system o monitors document expiries and timely update o updates existing MS documents o distributes notifications on MS document updates  Develops, maintains, communicates and trains on the DRMC processes includes: Policy, Procedure, Work Instructions, Templates, Training Material, Improvement and Correction, Communication of changes).  Ensures documents comply with policies, procedures, regulations and standards and works with document owners to revise documentation where needed. Ensures documents in the MS are reviewed periodically for appropriateness and suitability and notifies document owners of need to review documents. Supports, maintains, communicates and trains on the document management and storage system tool. Ensures documents and records are controlled and released according to Benchmark policy and procedure including updating SharePoint intranet pages. Represents DRMC process on Benchmark wide initiatives relating to document content management, defining and implementing compliant interfaces with tools that support the DRMC process (e.g. Process Modelling tools. Maintains and updates document registers, master lists and associated hard copy and electronic documents and data files. Assists in the preparation of new documents, records and control systems. Identifies, stores, controls and retains internal and external documents and electronic files in accordance with regulatory and quality system requirements. Registers and processes document change requests and reviews, amends and issues associated documents. Withdraws obsolete and superseded documents from circulation and use and ensures appropriate retention or destruction of records and documents, with due regard for security and confidentiality, according to Benchmark policies and procedures. Maintains formal filing (with suitable accessibility and retrieval) of all nominated current and archived hard copy documents and records. Assists in the routine operation of the quality and regulatory functions at Benchmark. Assists and participates as necessary in external compliance audits and inspections. Assists with performance of internal quality system audits and other duties related to the operation of the compliance, quality and regulatory functions as may be needed from time-to-time. Participates in development and implementation of corrective and preventive actions in relation to internal and external complaints, audits and quality issues.
•5+ years of experience as a Document Management Coordinator is required with project/program document management solutions
•Experience in developing, implementing and managing document management and storage solutions using various electronic data management systems
•Understanding of relevant documentation and records management and control requirements from regulatory and management system standards (e.g. ISO, FDA QSR, AS9100, ITAR, etc)
•Experience working in the medical device, aerospace and defense industries
•Effective multitasking skills and the ability to take on additional responsibilities as required
•Ability to support a 24/7 global business operation as required
•Ability to work with diverse groups
•Accepting of opportunities to train on new software tools as needed
•Participate in a continuous improvement activity Bachelor’s degree preferred
