Job Summary
Work location: 56 S. Rockford Drive Tempe, 85281 The position serves as the primary support to the President & Chief Executive Officer, Chief Financial Officer and other executives, enhancing the executives’ effectiveness by providing administrative assistance and representing the executives to others both within and outside of the organization.

Essential Functions and Competencies

• Assists the President & CEO and other executives by managing appointments, expense administration and global travel, creating and conducting correspondence on their behalf, tracking data, and creating reports and presentations.
• Manages confidential issues based on the company policy, culture and views of the executive. Prioritizes and handles issues and department queries, exercises independent judgment to ensure quality service and resolution.
• Develops effective and efficient correspondence; represents the CEO and other executives when interfacing with Board of Directors, investors, customers, suppliers, community organizations, and employees.
• Manages the quarterly corporate board meeting process. Communicates directly with President & CEO, General Counsel, Board of Directors and Committee leadership to schedule and coordinate meetings, communicate relevant information and resolve issues. Reviews and edits presentations and posts documents to the Company’s electronic board portal, Diligent Boards. Coordinates travel and lodging arrangements for Board members as required.
• Coordinate events including developing communications, managing travel and meeting arrangements, coordinating location logistics, food services, handouts, supplies, troubleshooting issues which develop on-site, recording meeting notes, and preparing/distributing written follow-up.
• Gather, compile, verify, and analyze information for the executive’s use in documents such as memos, letters, reports, speeches, presentations, and news releases.
• Makes independent decisions and judgments on areas of responsibility with limited supervision following Benchmark values, including management of vendors, representation of Benchmark at various events, purchase of necessary department equipment, etc.
• Takes on special projects and drives them to completion.
• Supervises site receptionist.
• May serve as point of contact for travel agency and as a back-up in managing building issues as they arise.
• Other duties as assigned.
Qualifications / Education / Experience

• Strong interpersonal skills, good judgment, and the ability to build relationships and interact professionally with stakeholders, including board members, external partners and team members at all levels of the organization.
• Shows good business judgment and makes independent decisions on issues that do not require executive oversight.
• Prioritize critical tasks ahead of routine ones, as well as prioritize schedule demands with an appreciation and recognition of key, critical issues.
• Multi-task, meet deadlines and adapt smoothly to rapidly shifting work priorities and schedules.
• Strong business acumen, organization skills and attention to detail.
• Outstanding writing and document preparation skills.
• Ability to create and develop clear, effective reports and communications for a wide variety of audiences.
• Ability to handle confidential and sensitive information with discretion and ease.
• Ability to maintain positive demeanor and constructive approaches under stress and deadlines.
• Ability to research business or financial information related to customers, vendors, competitors, market topics, etc.
• Ability to support 24/7 global business operations as required.
• Ability to work beyond normal business hours when needed.
• Advanced proficiency with MS Office including Excel, Word, PowerPoint, and Outlook, as well as web-conferencing software such as Webex. Experience with Concur and Infor a plus.
• Advanced Certificate for Executive Assistants (ACEA) preferred.
• Seven to ten years of administration management experience with minimum three years supporting C-suite executives required; prior experience supporting President & CEO role preferred.
• Experience working in a global, multi-site organization preferred. Associate’s degree required. Bachelor’s degree preferred.
